Training & certification

Training slots that do not double-book

Fire and safety certification provider: 16 seats a class, about 6 sessions a week, two coordinators. Phone plus two spreadsheets. The same slot was assigned twice a few times a month.

The problem

  • About 6 classes a week, 16 seats, booked by phone then typed into two spreadsheets.
  • Two coordinators assigned the same slot 2–3 times a month before anyone saw the clash.
  • Attendance was a paper list; a certificate check took 1–2 days to find a name.
  • Full classes still took walk-ins because capacity was not locked.

What we built

  • A booking calendar as the single source of truth.
  • Capacity per session; a full slot cannot be assigned twice.
  • Attendance recorded against the booked seat.
  • Phase one: booking and attendance, not a full LMS.

What changed

  • A 17th seat is refused automatically — double-booking dropped to zero after go-live.
  • Both coordinators see one calendar, not two files.
  • Attendance is marked the same day; a certificate check takes minutes, not 1–2 days.
  • Walk-ins only if a seat is still open on screen.

A normal day after go-live

  1. 1A coordinator opens that week’s calendar: 5–6 sessions, 16 seats each.
  2. 2A new booking is refused immediately if the session is already 16/16.
  3. 3On class morning the name list matches the bookings — mark present or absent.
  4. 4When someone asks to verify a certificate, search the session record, not a paper folder.

What we did not bolt on

We did not build a full LMS, video courses, or a public marketplace. Scope stayed on the calendar, capacity, and attendance — the actual bottleneck.

This is relevant if you

Run classes, clinics, or sessions with limited capacity, and still book by phone or Excel until slots collide.
