Ward roster and nursing reports on one board

Private hospital, 4 wards, about 55 nurses, 3 shifts a day. Supervisors called each ward to find out who was on duty. End-of-shift reports often arrived the next morning.

The problem

  • Four ward rosters lived in two Excel files plus a printed sheet each shift.
  • Supervisors called 3–4 wards to find out who was on duty.
  • End-of-shift reports often arrived the next morning, not before handover.
  • Last-minute duty changes did not reach every ward the same day.

What we built

  • Started with the ward board, not a full hospital information system.
  • Roster, duty status, and the reports nurses already write.
  • Separate roles for ward staff and supervisors.
  • Internal only — no public portal.

What changed

  • Four ward boards, one screen — supervisors stopped calling ward by ward.
  • Shift reports close before handover, not the next morning.
  • Roster changes show on the same shift, not after a new printout.
  • NMIS v3 still runs internally three years on.

A normal day after go-live

  1. 1Morning: staff open the ward roster for the 7:00–15:00 shift.
  2. 2Duty status is updated on the board when someone goes on break or off.
  3. 3Before 15:00 the shift report is closed so the afternoon team reads the same record.
  4. 4A supervisor checks all four wards from one login, not a WhatsApp file dump.

What we did not bolt on

This is not a full hospital information system. Billing, pharmacy, and a third-party EMR were left out of this phase. Scope stayed on roster, duty status, and nursing reports.

This is relevant if you

Run wards or shift teams still living on paper or Excel, and need an internal board — not an expensive hospital suite.
